September 17 – Members’ Workshops Day
On Wednesday, September 17 PDF Association members can opt to take one or both of 2 rooms provided for all-day members’ workshops, with coffee, snacks and lunch provided.
In coordination with the sponsor, these Members' Workshops will appear on the PDF Days agenda as occurring in conjunction with the event, however, the Members' Workshops are entirely organized, priced, marketed and executed by their respective sponsors.
The PDF Association will handle event logistics, including, if the sponsor wishes, attendee booking. Sponsors set the workshop attendance fee, and may choose to set it to zero. Workshop sponsors will be invoiced for the balance (or paid out, if attendee fees exceed the sponsorship) after the event.
Workshop sponsors can choose to make their workshop private, in which case the PDF Association simply provides the facility, and does not book the attendees.
Terms and conditions
Sponsorship of PDF Days Europe 2025 is open only to members that have paid their 2025 membership dues.
By submitting a sponsorship agreement and payment, the sponsor agrees to the following terms:
- Sponsorship Benefits: Sponsor benefits are as outlined in the official sponsorship package described above. The organizer reserves the right to make equivalent substitutions if necessary.
- Payment Terms: Sponsorship fees are due in full when the sponsorship is reserved.
- Use of Logos and Trademarks: The sponsor grants the organizer a non-exclusive license to use its name and logo for promotional purposes in connection with the event. The sponsor may use the event’s name and logo without prior written consent, but only if the sponsor provides a link to the event page on pdfa.org.
- Content and Materials: Sponsors are responsible for submitting logos, advertisements, and other promotional materials by the deadlines provided. Materials must meet the organizer’s technical and content requirements.
- Booth Setup and Exhibitor Responsibilities: Sponsors with exhibit opportunities are responsible for setup, staffing, and teardown in accordance with the event schedule and venue regulations. The sponsor must comply with all safety, fire, and accessibility requirements. Booth content must be professional and appropriate. The PDF Association is not responsible for lost, stolen, or damaged exhibitor materials.
- Code of Conduct: Sponsor representatives are expected to adhere to the event’s code of conduct. Violations may result in removal without refund.
- Cancellation: Sponsorship cancellations must be made in writing to info@pdfa.org. Cancellations received more than 90 days before the event may be eligible for a full refund; cancellations received more than 60 days before the event may be eligible for a 50% refund. No refunds will be issued after that date.
- Liability: The organizer shall not be liable for any loss, damage, or injury to persons or property during the event. The sponsor is responsible for its own insurance coverage and compliance with applicable laws.
